You can now create Excel Entities to bring transaction data into generate.TAX directly from Microsoft Excel or CSV files. This is ideal for clients who maintain manual books or use legacy systems that lack direct API integrations. generate.TAX can help with accounting systems such as Sage, Microsoft Dynamics or NetSuite which do not have a native VAT module.
Connect a new Excel entity
1. Click New Entity from any screen in generate.TAX, then select the Excel/CSV option.
2. Enter the required entity details, such as Entity Name, VAT Number and Country. Fields marked with a * are mandatory.
3. Open the More Details tab to enter any optional information. Once completed, click Save.
4. After creating the entity, upload your transactions using a Microsoft Excel or CSV file via the Upload tool in the Overview tab. You can use the provided template or your own file.
Upload your transactions
Upload transaction data using our standardised template or your own file format. Once imported, the Transactions tab provides full visibility and control, allowing you to edit entries, delete rows or use the Mass Update tool to categorise multiple transactions at once.
1. To upload additional data, click Upload Another Excel/CSV in the Transactions tab.
2. Once you select your file, the Smart Mapping screen will appear.
The Map Import Fields step automatically suggests matches between your file’s columns and the required fields (such as Date, Amount and VAT). This ensures the system correctly identifies and imports your data, especially when using a custom file instead of the provided template.
3. In the Transactions tab, you can view all transactions, apply filters, access attachments and edit transaction details.
The Transactions tab lets you view, filter and refine all imported or scanned data before it feeds into returns and reports. It provides a consistent workflow for both spreadsheet and AI-scanned entries, displaying transactions in a customizable table with columns like Date, Total, Net, Tax, Invoice/Bill Number and more. Filters let you narrow results by date, amount, or other criteria, and your column preferences are saved per entity.
4. In the Tax Rates tab, you can view all tax rates for the entity, edit tax names and save your changes.
5. New tax rates can be added by clicking the Add Tax Rate button. You can enter them individually, use a template or select from the country-specific drop-down menu.
